    Letter of Complaint is one of the toughest in the English creative writing skills section. Every student wants to score good marks in this subject, as it does not have any numerical part. This subject is a scoring one and can lift the overall percentage of students. Students can take a look to understand why complaint letters are written and if they affect anyone. If the answer is yes, then what happens, and what is the motive behind writing such a thing?

    These types of letters usually have a designed format that is default for everyone. Let’s have a look at this complaint letter, its format, some samples or examples, types of complaint letters, and some tips to understand it well and score good marks on this topic.

    What is Complaint Letter and its Types

    This type of letter is written to bring up any sort of wrong deed, offence, grievance, arising out of a product or service, etc. This is written to raise an issue against any unfair practice or any concern related to what people buy and seek a favourable outcome. It is every individual's right to seek help whenever required. The first thing they can do is to file a complaint. It also inspires people living among us to raise a voice against anything they feel is default and troublemaking.

    There are two types of complaint letters:

    Formal Complaint Letter: This type of complaint letter is written on behalf of the organisation to raise an issue against any service or product they have purchased, as it could be a problem for the whole organization. It is written in professional language and makes sure that it delivers the right message in fewer words.

    Personal Complaint Letter: This type of complaint letter is written by individuals mentioning their grievances, and that is why it is called a personal Complaint Letter Format .

    Complaint Letter Format

    • Sender’s Address: The sender’s address is put on the top left-hand corner of the page of the letter.

    • Date: The sender’s address has the date mentioned below it, which is on the left side of the page. This is the date on which the letter is being written by the individual.

    • Receiver’s Address: Is it ok to write “To” above the address depending on the writer’s preference? Students can make sure that they write the title, name, position, etc. of the receiving official as the first line of the address. This is the most important line that gets the reader.

    • Salutations: Greeting the person they are addressing the letter to. Keeping in mind that it is a formal letter, the greeting must be respectful and not too personal. The general greetings used in formal letters are “Sir” or "Madam." This looks like a formal and professional setting.

    • Subject: Then we write a brief on the purpose of writing the letter in one line. This helps the receiver focus on the subject of the letter in one go. It is important to underline the subject always.

    • Body: This is the main content of the letter. It is divided into three paragraphs, or two paragraphs if the letter is smaller. No use of any offensive language. Another point to be noticed is that the letter should be to the point. It should include:

    Indicate that they can contact you about the issue and provide your contact details.

    • Complimentary Close: At the end of your letter, we write a complimentary closing. The words “Yours Faithfully” or “Yours Sincerely” are used.

    • Signature: Here finally you sign your name. Then write your name in block letters beneath the signature, followed by your designation. This is how the recipient will know who is sending the letter.

    Some are borrowing the older versions of their seniors with outdated syllabi. This is resulting in problems in learning and understanding. The lectures teachers are delivering are not having an effective impact on the students.

    Books play an important part in learning, and Sir/Madam, I hope you understand the intensity of the situation. I request you to undertake quick action in making the books available as soon as possible. I hope my complaint does not fall on deaf ears.

    Firstly, the technician scraped the refrigerator on a wall while installing it and failed to inform me about it. Then, upon asking about the functioning of some features, the technician was rude and did not answer the queries.

    The technician left some parts unassembled, due to which the refrigerator is now not working. Please send another technician to repair it and take appropriate action concerning this behaviour. Hoping for an update on the action taken and an early response.
